What is important
Addresses
Both your and the recipient’s addresses should be at the top of the letter. Normally, both are located at the top left, yours on top, and the recipient’s right below yours.
Use Frau for Ms or Mrs and Herr for Mr.
Place and date
After the addresses, write the place and date where the letter is being written. This is located on the right side of the letter. Two formats are possible:
Modern format: (city), dd.mm.yyyy (dd = day, mm = month, yyyy = year)
Classic format: (city), den dd.mm.yyyy
Reference heading
For some types of letter, such as when applying for a job, a subject line is appropriate. This goes below the date, to the left, and in bold type.
Salutations for letters
These standard formal greetings can be used for business correspondence or with anyone with whom you would normally address as Sie

- Women are mentioned before men
- Salutations end with a comma, so the next line starts with a lowercase letter
- After the salutation, one line is left blank
- The next paragraph starts with a lowercase letter
Body of the letter
This paragraph starts with a lowercase letter.
It is extremely important to choose the appropriate personal pronoun. Not doing so, may make you sound impolite. For a formal letter, you will address the person as Sie, with the obligatory capital S at all times (other forms are Ihr and Ihnen).Closings
Contrary to English, there is no comma after a concluding expression in German.

Civil status certificates such as birth certificates, marriage certificates, death certificates, divorce certificates, marriage licences or certificates, certificates of no impediment, proof and acknowledgement of paternity or change of name certificates or certificates and reports of all kind such as school certificates, vocational school certificates, GCSE, A-levels or graduation diplomas, university certificates, state examinations, diplomas, doctoral or Ph.D. certificates, certificates on further education and training, employer’s references and reference letters or company documents such as trade register excerpts, financial reports, insurance policies, business registrations and notification of change of address, bond notes for customs, invoices, employment contracts and powers of attorney as well as legal documents such as notarial deeds, expert reports, divorce decrees, court decisions concerning pension rights adjustments, ongoing proceedings, pension claims and maintenance or support claims.
It is best to send me a scan of the documents to be translated (certificates, diplomas, legal documents) by e-mail or fax. Then, you will receive a custom-tailored offer.
When dispatching your original documents, I will reliably return all documents and certified translations per registered mail. Of course, this service is free of charge (within Germany).

The BDÜ e.V. is the largest German Federal Professional Association of Interpreters and Translators. Membership in the BDÜ stands for quality as all members must prove their professionalism and qualification before being admitted to the BDÜ. Since the occupational title of a translator is not protected, a BDÜ membership is considered a seal of quality.
